Job Posting: BC TEAL Administrator

BC TEAL Administrator 

The BC TEAL Administrators jointly oversee the day-to-day operations and administrative functions of the association, ensuring high levels of organizational effectiveness. This Administrator will work collaboratively and concomitantly with the current part-time BC TEAL Administrator to manage the administrative workload of the organization. Both Administrators report to the BC TEAL Board of Directors and work closely with various board members and other members of the BC TEAL community.

Duties and responsibilities include:

  • Responding in a timely manner to general and membership inquiries;
  • Overseeing registration for membership and events (Eventbrite);
  • Updating the website (WordPress);
  • Coordinating member communication sent through MailChimp;
  • Complete and track organizational invoicing and accounts payable & receivable, and liaising with the bookkeeper;
  • Payroll and other banking and online transactions;
  • Organizing general office procedures;
  • Coordinating board meetings including creating and distributing agendas, and taking and posting the minutes;
  • Working closely with volunteer board and committee members on various events and initiatives;
  • Helping with event planning and coordination (i.e., the annual conference);
  • Supporting the TEAL Charitable Foundation (TCF) in fundraising, accounting, and awards management;
  • Other duties as assigned.

Qualifications: Skills & Abilities

  • Skilled in MS Office Suite (Excel, Word, Outlook), G Suite, and Adobe;
  • Experience with web-based platforms including – Mailchimp, Eventbrite, WordPress, Alchemer, QuickBooks, Basecamp, Canva, Dropbox;
  • Excellent written and verbal communication skills with an ability to communicate effectively with a diverse range of people and entities;
  • Ability to work both independently and collaboratively within a team;
  • A foundational understanding of record-keeping requirements and accounting processes;
  • Must have well-developed interpersonal skills to interact professionally and to establish and maintain positive working relationships with internal and external stakeholders and being able to exercise tact, discretion, confidentiality, and diplomacy;
  • Ability to effectively work with and provide information, assistance, and related services to the public, board members, and the membership in a professional and appropriate manner;
  • Demonstrated ability to be detail-oriented, reliable, efficient, and resourceful;
  • Requires excellent organizational skills and the ability to work with minimal supervision to meet deadlines;
  • Occasional ability to work under pressure with a demanding workload, with frequent interruptions, and against tight deadlines;
  • Preferred access to public transport or a vehicle to assist with office errands in Coquitlam;
  • Exercise good judgment and leadership;
  • Occasional travel may be required.

Education & Experience:

  • Some post-secondary education required;
  • 1-2 years of related office experienced;
  • Experience in a non-profit environment an asset;
  • Project management or event planning experience an asset;
  • This is a work from home position, but preference would be given to someone residing in the Metro Vancouver area for occasional errands and events;
  • Working experience in the EAL sector preferred.

Hours and Days of Work:

  • This position will be 21 hours a week following a schedule that suits both the candidate and organization’s needs;
  • Candidates must be available for occasional weekend and evening work (i.e., events and conferences), including monthly board meetings (Third Thursday of the month, September to June);
  • This position can be done remotely apart from conferences and face-to-face meetings;
  • The ideal candidate will be comfortable working collaboratively, with minimal supervision.

Pay and benefits:

  • $23.00/hr to start with opportunities for increase after successful 6-month probation period;
  • Flexible hours;
  • Two week’s paid vacation time (for purposes of this contract this will be taken while the office is closed over the Christmas break);
  • 6 paid sick days a year.
